Position Summary:
We are seeking a highly organized, detail-oriented, and proactive Recruiter Assistant to support our team in all phases of the recruitment process. The ideal candidate will have an understanding of the executive search industry and will be proficient in using AI tools, Applicant Tracking Systems (ATS), Google Workspace, social media platforms, and CRM systems to streamline recruitment efforts. This position is fully remote, reporting directly to the CEO, with the flexibility to collaborate virtually with a dynamic team.
Key Responsibilities:
Recruitment Support:
- Candidate Sourcing and Screening: Assist in sourcing top candidates using job boards, social media, ATS, AI tools, and other channels. Screen resumes and applications to assess qualifications.
- Interview Coordination: Schedule and manage candidate interviews, maintaining communication with both candidates and clients. Ensure smooth communication through Applicant Tracking Systems (ATS) and CRM.
- Recruitment Database Management: Maintain accurate and up-to-date records of candidate information in CRM, including resumes, notes, and interview outcomes.
Administrative Support:
- Calendar Management: Oversee multiple calendars, schedule interviews, internal and client-facing meetings, and manage deadlines for various tasks.
- Documentation: Prepare and manage documents such as job descriptions, debriefs, candidate presentations, and offer letters.
- Client Communication: Draft and send emails to clients and candidates to confirm meetings, provide updates, and follow up on action items.
Technology Proficiency:
- AI Tools: Utilize AI tools to enhance candidate sourcing and streamline recruitment processes.
- Google Workspace: Proficiently use Gmail, Calendar, Docs, Sheets, and Slides for daily tasks and collaboration.
- Social Media Management: Manage recruitment-related posts on LinkedIn, Facebook, and other platforms, ensuring high visibility and engagement.
- CRM & ATS Management: Use advanced CRM tools to track candidates through the recruitment pipeline, ensuring data integrity in the Applicant Tracking System.
Research and Analysis:
- Conduct research on industry trends and competitive landscapes to help identify new talent pools.
- Analyze market data to support recruiters with candidate outreach and engagement strategies.
Qualifications:
- Experience: Minimum two years experience in an executive search agency or recruitment support role.
Skills:
- Familiarity with AI-powered recruitment tools, ATS, and CRMs.
- Strong proficiency in Google Workspace and social media platforms.
- Excellent multitasking, organizational, and time-management skills.
- Strong written and verbal communication abilities.
